Maintaining a continuous chain of custody for accountable property means that custody and accountability move only through properly documented transfers. Each time an asset changes hands, the new custodian signs a hand receipt or transfer form, the date is recorded, and the property records are updated. This creates an auditable trail that shows exactly who has the item, where it is, and when it moved, which helps prevent loss, theft, or misplacement and supports timely inventories and audits. The accountable property custodian holds responsibility for ensuring the asset is issued, transferred, or returned correctly and that the records reflect its current status. This applies to all types of property, not just information technology assets, and the chain is required, not optional. Automatic transfers without documentation would break the traceability and undermine accountability, and treating the APC role as optional would leave gaps in responsibility and records.
